Church Secretary

Our Church Secretary is responsible for the overall clerical administration of the church's office. The secretary has the vital role of maintaining the business integrity of the church body and faithfully stewarding the pastor's and church's calendars, meeting minutes, and votes.

The Church Secretary should understand the vision of Refreshing Spring Church and support it. The secretary must have the wisdom to understand that clerical administration of the church is important to further the ministry in a collective and well-organized manner. In addition, the should have good organizational and multi-tasking skills. 

Essential Responsibilities

  • Keep church staff informed of members' needs during crisis moments (e.g. deaths, illness, etc.)

  • Answer and screen phone calls for staff per their direction

  • Maintain office supplies, including but not limited to ordering and picking up supplies

  • Develop and maintain electronic and/or paper filing system

  • Keep records and compile these into periodic or occasional reports

  • File sermons, reports, correspondence, and assigned materials

  • Coordinate speaking engagements of the pastor

  • Coordinate with guest speakers when speakers at RSC or any subsidiary events

  • Maintain the church's general calendar and send reminders

  • Maintain the pastor's calendar, sending reminders and preparing the the pastor for upcoming meetings

  • Transcribe dictation as necessary

  • Type letters or other documents as needed

  • Edit and/or prepare weekly bulletins and other documents as requested

  • Develop and maintain the mailing list and church roster

  • Photocopy documents and assemble as needed

  • Create and/or fulfill routine letters and documents 

  • Other duties as assigned

Essential Skills

  • Solid relationship or building a relationship with Christ

  • Willing attitude of Christian service to their position and its responsibility

  • Must exercise and demonstrate good oral and written communication skills

  • Must have or be willing to learn how to use office equipment

  • Must be detail oriented

  • Must be able to demonstrate discretion (as you may handle proprietary or confidential documents

  • Must be able to work with different types of personalities and characters

  • Working knowledge of Microsoft Suite

  • 2 hours per week on site (hours are flexible)
